What we collect, and what we do with it

The short version. We collect your name and email so we can send you the newsletter and run the courses you sign up for. We don't sell your data, ever. You can get a copy of it or have it deleted by emailing us. Client case details you share inside the cohort must always be de-identified.
1. Who we are
The Clinical Collective is operated by Move Enterprises Pty Ltd ("we", "us", "our"). We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
This policy covers theclinicalcollective.com.au and the courses, communities and communications we run.
2. What we collect
Information you give us
- Name and email address, when you join the free collective or the newsletter
- Profession, years of experience and workplace, when you tell us on a form or scorecard
- Billing details, when you buy something. Card numbers are handled by our payment provider and never reach our systems
- Anything you post inside the community, submit as a case, or send us by email
Information collected automatically
- Standard web log data: IP address, browser and device type, pages viewed, referring page, timestamps
- Analytics and advertising identifiers via cookies and similar technologies
Client information, and why this matters
We do not want, and do not ask for, identifiable information about your clients.
When you bring a case to a discussion or post in the community, you must de-identify it first: no names, no dates of birth, no images or documents that could identify the person, and no details so specific that someone could work out who they are. You remain responsible for your own professional and legal obligations to your clients, including consent and confidentiality. If you send us identifiable client information, we will delete it.
3. Why we collect it
- To deliver the courses, community and resources you asked for
- To send the Rock In My Head newsletter and related education emails
- To process payments, issue receipts and handle refunds
- To answer your questions and provide support
- To understand what content is useful, so we make better material
- To meet our legal, tax and record-keeping obligations
We only send marketing emails to people who opted in, and every one has an unsubscribe link that works. Unsubscribing from marketing does not stop essential emails about a course you have paid for.
4. Who we share it with
We do not sell your personal information, and we never will. We share it only with the service providers we need to run the business:
- Email, forms and CRM, to store your details and send our emails
- Community platform, to run the private community
- Payment provider, to take payments securely
- Analytics and advertising platforms, to measure how the site performs
- Professional advisers and regulators, where we are legally required to disclose
Some of these providers store data on servers outside Australia, including in the United States. By using our services you consent to that transfer. We take reasonable steps to ensure providers handle your information in a way consistent with the Australian Privacy Principles.
5. Cookies and tracking
We use cookies and similar technologies to keep the site working, remember preferences, measure traffic, and understand which content leads people to our courses. This may include analytics and advertising pixels.
You can block or delete cookies in your browser settings. Some parts of the site may not work properly if you do.
6. How we store and protect it
Your information is held in reputable third-party platforms protected by access controls, encryption in transit and provider-level security. We limit access to people who need it to do their job.
No system is perfectly secure. If a data breach occurs that is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme.
7. How long we keep it
We keep your information only as long as we need it for the purposes above, or as long as the law requires. Financial records are kept for seven years to meet Australian tax obligations. If you unsubscribe and have never purchased, we remove your details from active systems on request.
8. Your rights
You can ask us to:
- Give you a copy of the personal information we hold about you
- Correct anything that is wrong or out of date
- Delete your information, where we are not legally required to keep it
- Stop sending you marketing emails
Email hello@theclinicalcollective.com.au and we will respond within 30 days. We may need to verify who you are first.
9. Complaints
If you think we have mishandled your personal information, email us and we will investigate and respond within 30 days.
If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
10. Children
Our courses are for practising clinicians and students in clinical training. They are not intended for anyone under 16, and we do not knowingly collect information from children.
11. Changes to this policy
We may update this policy as the business changes. The current version always lives at this address, with the date it was last updated at the top. If we make a significant change, we will tell you by email.
